Return the car during opening hours and ask a staff member to inspect it with you.
- Make sure the return form records the condition, ideally 'no new damage', and that both of you sign it.
- Take your own photos and video anyway, and ask for the deposit to be released once no damage is found.
Most damage claims are decided by two moments: pick-up and return. At pick-up you record what was already there. At return you record that nothing new happened, together with the company. If that second moment goes well, a later claim has very little to stand on.
Why the return check matters so much
ECC-Net advises returning the car during opening hours if possible, inspecting it with a staff member, and making sure a company representative signs an acceptance form or indemnification statement. It adds a clear warning: cars returned after hours are usually inspected the next day, and consumers can then be charged with damage at a later stage.
The German ECC goes further in its 2026 summer advice: return during opening hours, complete the return with a staff member, ask for a return report and avoid key boxes if you can. It notes that out-of-hours returns make it hard to prove when damage occurred.
Plan your return time
Late returns cost money and can cost you the joint inspection. ECC France notes that some companies allow a grace period of 30 minutes to an hour, but you should check first. If you return after closing, you may be responsible for the car until the next opening. Read more in what a late return can cost.
Leave enough time before your flight. A proper return check takes ten minutes, and queues at airport returns can be long in high season.
Make the car easy to inspect
- Refuel or recharge according to your policy and keep the receipt.
- Remove your belongings and obvious dirt, such as sand on the floor.
- Park in good light if you have a choice.
Our article on refuelling charges after return explains why the receipt matters.
Walk around the car together
Ask the staff member to walk around the car with you. Take your pick-up report with you and compare: every mark that was already on it is not new. ECC Malta advises inspecting the car with the company representative and making sure the condition is recorded on the form, which both of you sign.
If the staff member points at something:
- ask where it is on the pick-up report or your pick-up photos;
- photograph it closely and from a distance;
- do not agree on the spot that it is new if you are not sure.
Get the right words on the return form
What you want on paper:
| On the form | Why |
|---|---|
| Date and time of return | Shows the moment your responsibility ended |
| Fuel or charge level and mileage | Prevents later refuelling or mileage disputes |
| "No new damage" or a clear list of damage | Settles the condition |
| Signature or name of the staff member | Shows the company checked the car |
ECC Finland advises making sure the company notes on the report that the car was returned undamaged. Konsumentverket advises asking for a receipt or other written record of the car's condition at return.
Take your own photos anyway
Even with a signed form, take a short video around the car and photos of each side, the wheels, the windscreen, the dashboard and the interior. It takes two minutes. Our guide on which photos to take at return gives the order, and the evidence mode keeps them with date and time.
Ask about the deposit
Once no damage is found, ECC Malta advises asking the company to release the deposit held on your card. Note the amount and the date. If it is not released within the period in your terms, ask in writing. See how a rental car deposit works.
If nobody is there to check
Sometimes there is no staff member, or they tell you to "just leave the keys". Then you are in a key box situation, even at an open counter. Film the car in its parking spot, with the surroundings and the time visible, and photograph the dashboard. Send the company an email the same day saying where and when you returned the car and that it had no new damage. Read who has to prove damage after a key box return.
If a claim still arrives
Compare the claim with your signed return form, your photos and the pick-up report. If the form says no new damage, quote it in your objection. Our guide on how to dispute a damage claim and the letter templates help you write it.
Frequently asked questions
The staff member said 'all fine' but did not sign anything. Is that enough?
A spoken 'all fine' is hard to prove later. Ask for a signed return form or an email confirming the return without new damage. If you get nothing, photograph the car with the staff member and the return area in view, and write down their name and the time.
Can the company still find damage after a signed 'no damage' form?
It may try, but a signed form showing no new damage is strong evidence for you. ECC-Net advises keeping the acceptance form whether or not damage was found.
What if the staff member finds damage I don't agree with?
Do not sign that you caused it. Write on the form that you dispute it, photograph the spot and the surroundings, and compare it with your pick-up photos and the pick-up report. Then object in writing.
